This page lists every field a location, a building, a space, a space group and a map carry in portierX, with the labels the screen shows. You meet these fields in the forms under Locations and Spaces, and on the Maps tab of a building's page. The Organisation Admin creates and edits locations, buildings and spaces. The Access Manager, the Credential Manager and the Security Monitor see them.
Also called: site, plant, room, area, zone, floor plan. The sidebar says Spaces, and a space's own forms say space too.
The form is Add Location, and Edit Location when you edit.

The form is Add Space, and Edit Space when you edit. It opens under Spaces.
Field | Meaning | Rules |
|---|---|---|
Location | The space's location, picked with Select Location. | Required when the space is created. After that the location stays fixed. |
Space Name | The space's name, for example Serverraum. | Required. Up to 255 characters. |
Building | The building the space is in. | Optional. Without a building the space sits directly on the location. The building can be changed when editing. |
Department | The department the space belongs to. | Up to 100 characters. |
Description | Free text about the space. | Up to 1,000 characters. |
Protection need | How much protection the space needs. | Only in Edit Space. |
Tags | Labels made of a key and a value. | Up to 10 tags, key and value together up to 49 characters. Saving Edit Space replaces the space's tags with the ones in the form. |
The Organisation Admin sets Protection need in the edit form of a location, a building or a space. The list under Spaces shows it as a column and a filter.
Level | Meaning |
|---|---|
Not set | The place records no level of its own and reads the level above it. |
Normal | The lowest level. |
High | The middle level. |
Very high | The highest level. A space that reads Very high is restricted: a key or card that opens it is handed over only after approval. |
How the level passes down:
A building reads its location's level, and a space reads its building's and its location's. The highest level on that path applies.
A place cannot record a level below the one it inherits. The field greys out the lower levels and names the place the level comes from. Its first entry then reads Use inherited with the level and the place.
When a place above is raised, a place keeps its own level and reads the higher one.
When a space moves to another building, it reads the level of the path through that building from then on.
Importing the master key plan again changes no protection need.
Every change is written to the place's audit log, with the level before and after.
When approval is needed and who gives it is on When access needs approval.
These fields belong to a place and name people. They are set on the place's page.
Field | Meaning | Where it is set |
|---|---|---|
Responsible | Answers for the place. Approval requests for rooms with no Approver go to this person. | On a location or a building, see Name who is responsible for a place. |
Deputy | Stands in for the Responsible at all times, sees the same and can do the same. | Beside the Responsible, several per place. |
Approver | Decides on approval for keys that open a restricted place. | On a location, a building or a space, see Name approvers, owners and reviewers. |
Reviewer | Answers in an access review whether a person still needs the space. With no Reviewer named, the Responsible and the Deputies answer. | On a space. |
A space group puts spaces together. It sits under Spaces, on the Groups tab.
Field | Meaning | Rules |
|---|---|---|
Name | The group's name; the empty field reads Group name. | Required. Up to 255 characters. |
Description | What the group is for. | Up to 2,000 characters. |
Spaces | The spaces in the group. | Up to 500, each one once. |
A map is the plan of one floor. It belongs to a building, on the Maps tab of the building's page. The Organisation Admin and the Access Manager upload maps, edit them and place pins. The Credential Manager and the Security Monitor see them.
Field | Meaning | Rules |
|---|---|---|
Name | The map's name, for example Ground floor map. | Required. Up to 255 characters. |
Map label | The floor as people in the building call it, for example Ground. | Required. Up to 64 characters. Only one map in the building carries it, and capitals do not count. |
Picture | The plan itself. | PNG, JPG or PDF up to 25 MB. How portierX converts the file is on Spreadsheet and file formats. |
Main map | The map the building's page shows first. | One per building, set with Set as main map. Without a main map the page shows the first map in the list. |
A space is pinned on at most one map, in one place. Pinning it on another map moves the pin.
Replace picture swaps the plan and keeps the name, the map label and the pins.
Delete map removes the map and its pins. The spaces stay.
