Org units hold your organisation's departments and teams as a tree, such as Verwaltung › Einkauf. The tree sits under Settings, Org Units. The Organisation Admin, the Access Manager, the Credential Manager and the Security Monitor can read it. Only the Organisation Admin adds, renames, moves and deletes units.
Also called: department, division, team, organisation chart, org structure.
A person belongs to one unit at most. Which one is set on the person's page, as Change, link a login to, or delete a person describes. Filtering the list under People by a unit is described in Find a person and read their page.
Open Settings in the sidebar.
Choose Org Units.
The tree opens on its top level. Selecting the arrow of a unit unfolds it. Expand all and Collapse all open or close the whole tree. The search box Search by name or ID finds units and unfolds their parent units.
Column | What it shows |
|---|---|
Name | The unit's name, with its level and its path. |
ID | The ID an import file or the HR file holds the unit under. The column appears only when at least one unit has such an ID. |
People | How many people are directly in this unit, not counting the units below it. |
Source | Hand entry for a unit someone added by hand or by import, otherwise the name of the connection that created it. |
portierX shows how many units and people your organisation has. Each row's menu holds Add sub-unit, Rename, Move and Delete. Roles without the right to change the tree see the same entries locked, and portierX gives the reason.
Under Org Units, choose Add Org Unit. For a sub-unit, choose Add sub-unit in the menu of the unit above it instead.
Enter the Name, for example Purchasing.
Under Parent unit, pick the unit it sits under, or leave Top level. For a sub-unit, the unit from the row is already filled in.
Choose Add Org Unit.
When another unit already has that name, the drawer says so. A spreadsheet import that names units instead of giving their IDs cannot tell two units with the same name apart. Give each unit a name of its own.
Choose Rename in the unit's menu.
In the Rename org unit drawer, change the Name.
Choose Save changes.
The people in the unit stay in it, and the drawer says how many there are. When a connection such as the HR file created the unit, Rename is locked. Change the name in that source.
Choose Move in the unit's menu.
The Move org unit drawer shows which unit it sits under and, under Moves with it, how many units and people go along.
Under Move under, pick the unit it will sit under, or Top level.
Choose Move Org Unit.
Every unit below it moves along. Each person stays in their unit. Only the unit's path changes, and the filter under People follows the tree as it stands afterwards. The drawer does not offer the unit itself or any unit below it as a target. A unit a connection created can be moved too.
Only an empty unit can be deleted: no people and no sub-units. When the unit is not empty, Delete is locked and the reason names what is still in it.
Choose Delete in the unit's menu.
Confirm with Delete Org Unit.
The unit leaves the tree. The Audit Log keeps its name. When a connection created the unit, the dialog says beforehand that a later file naming it again brings it back at the top level.
A people import creates a unit when the file names one that does not exist. Import people from a spreadsheet describes it.
The HR file creates units and keeps their names. How many people an HR file run may move to another unit in a day is set by the daily limit in Connect your HR system through a daily file.
Every add, rename, move and delete is written to the Audit Log with who did it and when, and with the name or parent unit before and after.
Renaming and moving change no person's record. People point at the unit, not at its name.
On a person's page and in the filter under People, the unit shows straight away with its changed name or path.
Only the Organisation Admin adds, renames, moves and deletes units. The Access Manager, the Credential Manager and the Security Monitor read the tree.
The Organisation Admin, the Access Manager and the Credential Manager put people into a unit, on the person's page.
A name has at most 255 characters.
A unit never sits under itself or under one of its sub-units.
Only an empty unit can be deleted.
A unit a connection created is renamed in that source. It can be moved in portierX.
