A space's page gathers everything that belongs to the space. Open it under Spaces by clicking the space's row. The Organisation Admin, Access Manager, Credential Manager and Security Monitor see the page. What each role may change there is in the tables.
Also called: room page, room details.
Part | What it shows | Who can do what |
|---|---|---|
Name and description | The space's name and its description. A long description can be expanded. | The Organisation Admin changes both through Edit in the page menu. |
Place | The space's building and location. | The Organisation Admin moves the space to another building through Edit in the page menu. |
Protection need | The level the space reads. When it comes from the building or the location, that place is named. | The Organisation Admin sets it, as described in Set how much protection a space needs. |
Approver | Who decides on keys to the space, a person or a people group. When the Approver is named on the building or the location, that place follows. With nobody named the line reads None named with Responsible and Deputies decide beside it, or Responsible decides when there is no Deputy. When nobody can act it reads Nobody can decide, requests wait. The line appears only for spaces that read Very high. | Edit on the line opens the naming, for the Organisation Admin only. The other roles see the button disabled, with the reason. |
Reviewer | Who answers this space's rows in an access review. With nobody named the Responsible and Deputies answer. The line appears for every space. | As for the Approver. |
Assign Access | Opens the assignment with this space. The flow is described in Give a person access. | The Organisation Admin, Access Manager and Credential Manager. |
Page menu | Edit and Delete, described in Set up locations, buildings and spaces. | The Organisation Admin only. The other roles see no menu. |
Tab | What it shows | What you do there | Who sees it |
|---|---|---|---|
Overview | Three counts: the space's access credentials with the overdue ones and those expiring, the people with access, and the access points. With them the floor plan the space is pinned on. The Active Assignment table lists the keys and cards handed out with holder and Due Date. The Recent Activity table lists the last audit log entries about the space. | Enlarge the floor plan. When the space is not pinned on a floor plan, Upload Map leads to the maps of its building or location. | All four roles. Upload Map shows for the Organisation Admin and Access Manager. |
People | Everyone who holds a key or card for one of the space's doors or is receiving one in a pending hand-over. | Search by name or email address. A row opens the person's page. | All four roles. |
Access Credentials | Every key and card that opens one of the space's doors, handed out or not. | Search. Overdue and Expiring Soon narrow the list, each with its count. A row opens the preview of the key or card. | All four roles. |
Access Points | The doors linked to the space. | Search, and link and remove access points as described in the next section. A row opens the access point's page, as does View Access Point in the row menu. | The Organisation Admin, Access Manager and Security Monitor. The Credential Manager does not see this tab. |
Audit Log | The audit log entries that concern the space, with who and when. | Search. | All four roles. |
How floor plans are uploaded and spaces pinned on them is in Upload floor plans and pin spaces.
When a space has been deleted, its page reads Space not found and Back to Spaces returns to the list.
On the Access Points tab the Organisation Admin and Access Manager link doors to the space and unlink them again.
When the space has no access points, the button reads Link Access Point. The picker lists every access point not linked to this space, including those of other spaces. Connect takes the ones you pick. The steps are in Set up locations, buildings and spaces.
When the space has access points, the button reads Manage Access Points. The picker lists all access points with this space's first. The ones on the tab's displayed page carry a tick. A tick links and a cleared tick unlinks. Update takes the change.
Before saving, a window lists the access points under Added and under Removed. It is headed Connection Confirmation. Yes, Connect or Yes, Update confirms and No, Cancel goes back.
An access point already linked to another space is moved, not copied. When one is among them, the window is headed Move Access Points?. It names the access point under Warning: Moving Access Points and marks it Cross-space. Once you confirm, it belongs to this space and the other space loses it.
To unlink a single access point, use Remove Access Point in its row menu. The Remove Access Point window asks and Yes, Remove confirms. The access point itself stays in portierX and appears under Access Points without a space. What moving and unlinking mean for keys and cards is in Add access points and link them to spaces.
The Organisation Admin, Access Manager, Credential Manager and Security Monitor see the page.
Only the Organisation Admin changes the name, description, building, protection need, Approver and Reviewer. Only the Organisation Admin deletes the space.
Assign Access is for the Organisation Admin, Access Manager and Credential Manager.
Only the Organisation Admin and Access Manager link and unlink access points.
An access point already linked to another space is moved, not copied.
Remove Access Point ends the link only. The access point stays.
The Approver line appears only for spaces that read Very high. The Reviewer line always appears.
