Place Copies and Take Out Copies record which copies belong in a key safe or cabinet. The Organisation Admin, Access Manager and Credential Manager can do both. It starts under Depots, on the depot's Keys tab.
Also called: put keys in the safe, stock a cabinet, remove keys from a depot. What a depot is and how to add one is in Depots: where key copies are kept.
The depot is active. An inactive depot takes no copy.
No count is running on the depot. During a count the Keys tab shows the count instead of the buttons (see Count a depot).
Placing assigns copies to this depot that are in stock and in no depot.
Open Depots and the depot. The Keys tab is open.
Click Place Copies. The list shows every copy in stock with no depot, with key number, copy and key name.
Narrow the list with Search by key number if you need to.
Tick the copies that are in the safe or cabinet.
Click Place Copies. The button gives the number of copies ticked.
When the Keys tab is empty, it offers Place Copies as well.
Taking out detaches copies from this depot. You need it before deactivating or deleting a depot, and when a copy moves to another depot.
Open Depots, the depot and its Keys tab.
Click Take Out Copies. The list shows every copy that belongs in the depot, on the shelf or out with someone. An issued copy shows who holds it.
Narrow the list with Search by key number if you need to.
Tick the copies.
Click Take Out Copies. The button gives the number of copies ticked.
Take Out Copies appears only when the depot keeps copies.
portierX checks each copy as it saves. The other copies are placed or taken out. The drawer names each refused copy with its reason and stays open. The reasons are: the copy is kept in another depot, it is not in stock, it does not belong in this depot, or it no longer exists.
Placing and taking out change only where a copy belongs. Its state stays as it was. A copy In stock stays in stock, and an Issued copy stays with its person.
After placing, the key's Copies tab names the depot with the copy's state, linked to the depot's page. The depot's Keys tab lists the copy, with the date under Kept here since.
After taking out, the copy belongs to no depot. The key's Copies tab names no depot, and the depot's Keys tab no longer lists the copy. A copy in stock that was taken out can still be issued.
A copy does not move straight from one depot to another. Take a copy in stock out of its depot and place it in the other one. An issued copy reaches the other depot through its return. Choose the other depot under Receiving depot, and the copy moves in one step. The return is described in Take a key or card back.
Every copy placed and every copy taken out is its own entry, with who and when, on the depot's Audit log tab and in the Audit Log.
A message gives the number of copies placed or taken out.
Copies kept in the list of depots and the count on the Keys tab update at once.
The Organisation Admin, Access Manager and Credential Manager place and take out copies. The Security Monitor and the Individual role see the Keys tab without these buttons.
Only a copy that is in stock and in no depot can be placed. A copy that is issued, reserved, reported lost, defect or archived cannot be placed.
Any copy that belongs in the depot can be taken out, issued copies included.
Nothing can be placed in an inactive depot.
While a count is running, the Keys tab shows the count. Placing and taking out are available once it is finished.
The list shows up to 100 copies, sorted by key number. Find others by searching for the key number.
Placing and taking out change no access and nothing in a connected locking system. An issued copy stays with its person until it is returned.
