You look a person up under People in the sidebar, on the People tab. Selecting their row opens their page. The list and the page are open to the Organisation Admin, the Access Manager, the Credential Manager and the Security Monitor.
Also called: people list, staff list, person record, profile.
Open People in the sidebar. The People tab is selected.
Type a name or an email address into the search box above the list.
Narrow the list as needed with the filters Person Type, Status and Org Unit and Sub-units.
Select the person's row. Their page opens.
The search looks at first name, last name and email address. With several words, each word has to appear in one of those fields, so "Brandt Anna" finds Anna Brandt too.
The filters work like this:
Person Type takes one or more of your organisation's person types.
Status takes exactly one of Active, Paused and Offboarded.
Org Unit and Sub-units takes one unit and shows the people in it and in every unit below it. The filter appears once your organisation has org units.
Reset removes the filters. When the list finds nobody, Clear Filters clears the search and the filters.
The list shows Name, Email, Mobile Number, Person Type, Company, Org Unit, Status, End date and Access Credentials. Access Credentials lists the keys and cards the person holds. A warning symbol beside the name marks keys that are overdue or due within seven days. The org unit shows by its name, and hovering over it shows the full path.
In a narrow window the list opens without Mobile Number and Company, and in a very narrow one without Person Type as well. View shows or hides columns again.
Selecting a column heading sorts ascending, a second time descending, and a third time removes the sorting. You can sort by Name, Email, Person Type, Company, Status and End date. Name sorts by first name.
The head of the page shows the person's name and email address, with their person type, company and status where they have one. Grant Access starts an assignment for this person, as Give a person access describes. The button works for the Organisation Admin, the Access Manager and the Credential Manager.
When the person holds keys or cards that are overdue, or due within seven days, a notice with the count sits above the tabs. The Organisation Admin, the Access Manager and the Credential Manager see this notice.
The page opens on the Spaces tab.
Tab | What it shows |
|---|---|
Spaces | Every space the person can enter, with Building and location, Credential, the number of Doors and Valid until. The search box and the filters All Locations and All Buildings narrow it. Doors without a space sit under Space not recorded. Selecting a row opens the space. |
Access Credentials | The person's keys and cards. Reserved Access Credentials appears while a hand-over is pending. Assigned Access Credentials shows Credential ID, Name, Status, Handed over and Return Due. From here run Add, Edit Access Credentials, Show History and, for selected rows, Remove Access. |
Groups | The groups the person belongs to. The group name opens the group. Members are changed on the group's page. |
Information | The person's details, and one line per source with the ID it holds the person under. The Organisation Admin also sees the linked Login. This is where you change the person. |
Access Points | Every door the person can open, with Type, Connected space, Source, Profile, Valid until and Status. Not observable marks a mechanical door that records no passages. A notice counts lapsed access, which the list leaves out. |
Responsibilities | The places the person is named responsible or deputy for. |
Audit Log | What is recorded about this person, administrative changes and hand-overs. Filter by period and Filter by entry type narrow it. The search covers the last entries recorded, and older ones are on the Audit Log page. |
How to change a person, link their login, export their history or delete them is in Change, link a login to, or delete a person.
The Security Monitor sees the list and the page and changes nothing. On the Access Credentials tab portierX shows the Security Monitor no keys or cards.
Status and Org Unit and Sub-units take one value each. For two statuses or two units, filter one after the other.
The search looks only at first name, last name and email address, not at company or phone number.
Org Unit and Access Credentials cannot be sorted.
A person is deleted from the list, not from their page.
