The list Places needing attention collects gaps: locations and buildings with no Responsible or no Deputy, and rooms whose protection need is Very high that nobody can approve for. The Organisation Admin, Access Manager, Credential Manager and Security Monitor see it as a card on the Dashboard and as a page of its own. The Organisation Admin closes the gaps straight from the list.
Also called: responsibility gaps, places with nobody in charge.
When the card shows and how it leads to the full page is in Read the dashboard. From the page, Back to Dashboard returns.
The page has two sections. Responsible and deputy lists locations and buildings. Approver lists rooms that read Very high. The What's missing column says which gap it is.
What's missing | When | How the place leaves the list |
|---|---|---|
Nobody responsible | A location has no Responsible of its own. A building has no entries of its own, and its location has no Responsible. A place has Deputies but no Responsible. The Responsible has left, or their login is paused or switched off. | Name a Responsible for the place. For a building with no entries of its own, one on the location is enough. |
No deputy | The place has a Responsible but no Deputy who counts. A Deputy who has left, or whose login is paused or switched off, does not count. | Name a Deputy. |
No Approver | No Approver is named on the room, its building or its location. The nearest Responsible above and their Deputies cannot decide either. | Name an Approver for the room, or a Responsible above it. |
Approver gone | Everyone the Approver stands for has left or has a paused or switched-off login. | Name another Approver. |
Approver cannot sign in | The people have not left, but none has an active login. | Link a login to one of them, or name another Approver. |
A room also leaves the Approver section when it no longer reads Very high.
In the Responsible and deputy section the columns are Place, What's missing, Responsible and Deputy. In the Approver section they are Place, What's missing, Approver and Waiting, the number of requests waiting on the room.
For a row in the Responsible and deputy section, the Organisation Admin names someone straight from the list.
In the row, click Name Someone. The dialog is set to the place and to what is missing.
Find the person with Search people and select them. For Deputies you can select several people.
Click Name as Responsible or Name as Deputy.
What a naming does is in Name who is responsible for a place.
For a room in the Approver section, the Organisation Admin names the Approver straight from the list.
In the room's row, click Add Approver.
Under Approver, pick a person or a people group.
Click Add Approver.
The place leaves the list once its gap is closed. With nothing left open, the page reads Nothing needs attention.
Requests waiting on the room go to the Approver you named, with an email. Later requests for the room go to them as well.
Each naming is written to the Audit Log.
Name Someone and Add Approver need the Organisation Admin role. The other roles see the buttons disabled, with the reason beside them.
The Responsible and deputy section stays empty until someone in the organisation has been named Responsible or Deputy for the first time.
Spaces never appear in the Responsible and deputy section. They appear only in the Approver section, when they read Very high.
A building with no entries of its own counts as covered when its location has a Responsible. A building with Deputies of its own but no Responsible of its own is listed anyway.
A location is never covered by another place.
