A space group puts spaces under one name. Whoever is given access to the group reaches all of its spaces. Creating, changing and deleting groups is the Organisation Admin's job, under Spaces on the Groups tab. The Access Manager, Credential Manager and Security Monitor see the groups there.
Also called: room group, zone, access group.
A space group is a named set of spaces for granting access. It sets no rule of its own. It has no protection need and no Approver. Each space in it keeps its own. A group grants nothing until access is assigned to it.
A group holds spaces, never doors. Which doors belong to it follows from its spaces, doors linked later included. When a lock is replaced, the access stays with the space. A space with no access point is reached by nobody through the group, and the group's page marks it.
At Nordwerk Industries a group called TechnikrÀume holds the Serverraum and the other plant rooms at Werk Nord. Whoever has access to that group reaches each of these rooms.
The Groups tab under Spaces lists every space group with Name, Spaces, Buildings, Description and Updated. The search box finds names and descriptions. All Locations and All Buildings show the groups with at least one space at that place, and Clear filters removes both. Clicking a row or View opens the group.
Open Spaces, then the Groups tab, and click Add group.
Enter the name under Group name. It is the only required field. A description below says what the group is for.
Under Add spaces, find the spaces with Search spaces. + Add filter narrows the search to one building. The spaces are listed by building, each with its number of ways in.
Click Add beside a space. The button beside a building adds all of its spaces at once. The chosen spaces sit in the group's list, and Remove all empties it.
Click Save group. The group's page opens.
The header gives the number of spaces and the buildings they sit in. Assign access opens the assignment with this group as the target, as described in Give a person access. The menu holds Edit group and Delete group.
The page has these tabs:
Spaces: every space with Building, Protection need and Ways in. Manage spaces opens the editor.
Access: who reaches the group.
Audit Log: every change to the group.
On the group's page, Spaces tab, click Manage spaces. Edit group in the menu opens the same page.
Add or take out spaces as when creating. Edit name and description changes the name and description.
Click Save group. When the spaces changed, Review this change to the spaces opens first.
Read which spaces are added and which are removed, and how many people are entitled through the group. For removed spaces, each assignment shows who loses them and who keeps them through another assignment.
Click Save these spaces. Cancel goes back without saving.
When only the name or description changes, portierX saves without this review.
To take out a single space, use Remove on the Spaces tab and confirm Remove this space? with Remove.
The Access tab lists every assignment to the group: a whole people group with its number of people, or a person assigned directly. It also says how many people are entitled. Anyone who joins the people group later is entitled too. Clicking a people group opens it.
To remove an assignment:
In its row, click Remove access. The Remove this access? dialog lists what follows: how many people are affected, which cards update, which keys join the return list and who keeps the access another way.
Tick I understand the keys move to the return list. When the change takes nothing from anybody, there is no tick box.
Click Remove access. The dialog shows under Access removed what was done. Close finishes.
Under Groups, click Delete in the group's row, or Delete group in the menu on the group's page.
The dialog lists what deleting takes: who loses the spaces, which keys join the return list, which cards update, which reservations are released and who keeps the access another way.
Tick I understand the keys move to the return list when the dialog asks for it.
Click Delete group. portierX returns to the Groups tab.
The spaces themselves stay as they are. Only the group is deleted.
Creating, changing and deleting are written to the Audit Log. A save with changed spaces is one entry that names the spaces added and the spaces removed.
Whoever is entitled through the group is entitled to the spaces it holds at any moment.
When a group is deleted or an assignment is removed, portierX takes back what came only through this group. Cards update on their own. A key cannot be narrowed, so it counts as overdue from that moment and has to be returned. Anyone with the access through another assignment keeps it. Each withdrawal is written to the Audit Log.
A group you create changes nobody's access until something is assigned to it.
Creating, editing and deleting need the Organisation Admin role. Assign access is also open to the Access Manager and the Credential Manager.
Only the Organisation Admin has the Access tab and Remove access.
A group's name is unique in the organisation, regardless of upper and lower case.
A group with no spaces can be saved. It grants nothing.
A group holds spaces, not other groups.
Deleting cannot be undone.
