Under Settings the Organisation Admin sets up what applies to the whole organisation: users and roles, area managers, org units, language and theme, the branding of emails, the reminder emails, the locking plan legend and data protection. The Settings entry in the sidebar unfolds these pages; clicking the entry itself opens User.
Also called: administration, configuration, organisation settings.
Each page governs one thing. The order is the sidebar's.
User. The User Management page with the tabs Users, Standard roles and Custom roles: add user accounts with a login, set their role, create custom roles. Pages: Add a user and set their role and Create a custom role.
Area Managers. Record which locations, buildings or spaces a user manages. Page: Set who manages which part of the estate.
Org Units. The organisation's departments and teams as a tree, with the Add Org Unit button. Page: Build your organisation's structure with org units.
Appearance. The language and theme of portierX. Page: Set the organisation's language, time zone and theme.
Email Branding. Company name, logo and brand colour in the emails portierX sends for the organisation. Page: Brand the emails portierX sends.
Notifications. When the emails about an end date and about a review go out, and who gets them. Page: Set when reminder emails go out and who gets them.
Locking Plan Legend. The five marks in the cells of the locking plans and their wording. Page: Set the locking plan legend.
Data Protection. How long portierX keeps records about people. Page: Set how long records are kept.
A person's own account is not one of these pages. Every signed-in user reaches their name, language and their own reminder emails from the user menu under Account. Page: Your own account: reminder emails and language.
The pages under Settings need the permission to view settings. Of the five standard roles, only the Organisation Admin holds it. For the Access Manager, Credential Manager, Security Monitor and Individual the sidebar entries do not exist, with one exception.
The exception is Org Units. That page opens for anyone who may read people: Organisation Admin, Access Manager, Credential Manager and Security Monitor. These three roles see only this entry under Settings. They read the tree; adding, renaming, moving and deleting are disabled for them, with the reason beside each. Only the Organisation Admin changes the tree.
A custom role carries the permissions it was given when it was created. If it carries the permission to view settings, it opens the pages too; changing anything needs the permission to edit settings as well.
What is saved under Settings applies to the whole organisation. Language and theme under Appearance are the exception: they apply in the browser they were chosen in.
Without the permission to edit settings, a page shows its values read-only.
The pages under Settings belong to the organisation that is open. Someone who works in several organisations sets up each one on its own.
What a role sees and may do in portierX is on Roles and permissions. This page names only who opens the settings.
