You answer an access review when portierX asks whether people still need their access. The people asked are those named as reviewer of a space or responsible for it, and for a review of privileged users the named reviewers; no particular role is needed, but you need a login linked to your person record. You start from the link in the email or under Reviews.
What the answers do is on Access reviews: what they are and how they run.
At the start, everyone who can answer rows receives the email "A review needs your answers", with the review's name, the number of answers, the due date and who started it. The button Open the review opens it.
Before the due date, everyone who still owes answers receives the reminder "A review is still waiting for your answers", with the number of answers left. Your organisation sets how many days before; without a setting it is three.
The day after the due date, everyone who has not submitted receives the email "A review is past its due date", once.
Once you have submitted, you get no further email about that review. A person with no login, or whose record has ended, gets none. Every email portierX sends is on Emails portierX sends.
Open the link in the email, or open Reviews and choose the review. At the top sit Scope, Who answers, Started, Due, Answered and Follow-up.
The table has one row per person, space and key: Person, Space, Key, Why they can open it, Answer and Outcome. For privileged users it shows Account and What they hold. Search by name, space or key filters the rows.
In the Answer column, choose Keep, Remove or Clarify. The answer saves at once.
With Clarify, say in the note what needs clarifying; without a note the answer is not saved. With Remove, the note is optional.
Clear Answer takes a saved answer back, as long as you have not submitted.
Some rows take no answer. When the access comes through a group, the row reads No answer needed with a note that the access is changed on the group's page. When no assignment stands behind a key, or the assignment also covers spaces outside the review, Remove cannot be chosen and the row says why.
When another person who answers has already answered a row, their name shows with it. The first saved answer holds the row.
Show who opens the list of every account per role and per privileged account list; Hide who closes it. A name opens the person or the group.
In the page header, choose the button with the count of your answers, "Submit 5 Answers" for example. It stays greyed until an answer is saved.
The dialog Submit your answers? says how many answers become fixed, how many removals run on submit, and how many rows without your answer will count as missing.
Confirm with Submit Answers.
Your answers are fixed. portierX carries out each Remove and shows what happened in the Outcome column.
When a removal is not carried out, the row gives the reason, with Retry.
When everyone who can answer has submitted, the review closes.
Every answer and every outcome stays stored in the review.
You answer only the rows you are asked about. A review in which you answer no row reads You are not asked to answer this review.
Answers save as you go. Nothing is removed until you submit.
After you submit, your answers cannot be changed.
Not answering changes nothing.
A closed review takes no more answers.
