Locations, buildings and spaces are the three levels in which portierX holds your estate. Doors, keys and people hang off them. Creating, editing and deleting them is the Organisation Admin's job, and it starts from Locations for locations and buildings and from Spaces for spaces.
Also called: room, area, zone. The screen says space.
Level | What it is | Example at Nordwerk Industries |
|---|---|---|
Location | A site with an address, a plant or a campus. | Werk Nord |
Building | A structure on the site. It belongs to exactly one location. | Labor- und TechnikgebÀude |
Space | An area people need to reach, a room, a floor, a wing. It sits in a building or directly on the location. | Serverraum |
Name all three the way your colleagues talk about them. A space's name is what everyone reads later when they grant access.
Open Locations and click Add Location.
Enter the Name. It is the only required field.
Add Address, ZIP, Country, City and Tags as you need them.
Click Add Location.
The location appears as a card with the pictures of its buildings, its address and the counts Buildings, Direct Spaces and Spaces in Buildings. See Details opens its page. The search box above the cards finds a location by name.
On the card, the menu offers Edit. On the location's page, the button is Edit Location Data. Both open the Edit Location drawer with the same fields as at creation plus the Protection need field. Save Changes finishes.
Under Locations, open the location with See Details.
On the Buildings tab, click Add Building. The location is prefilled. Change Location picks another one from the Select Location list.
Enter the Building Name. It is the only required field.
Add Description, Building Photo and Tags as you need them. The photo is a PNG or JPEG file under 10 MB.
Click Add Building.
The building appears as a card on the Buildings tab. See Details opens its page, with the tabs Space List, Credential List and Maps.
On the building's page, Edit Building Data opens the Edit Building drawer. Change the name, description, photo and tags there, the location with Change Location, and set the Protection need. Save Changes finishes. The photo can also be replaced on the page itself with Change Image.
Open Spaces and click Add Space.
Pick the location with Select Location. Without a location the save button stays disabled.
Enter the Space Name.
Pick the Building. Left empty, the space sits directly on the location.
Add Department, Description and Tags as you need them.
Click Add Space.
After saving, the Confirmation New Space dialog asks whether to link the access points right away. Without access points a space is only a name.
Click Link Access Points. portierX opens the space's page on the Access Points tab, with the Link Access Point picker open.
Pick the access points that lead into this space. The search box narrows the list.
Click Connect.
Skip for Now returns to the list. The same picker opens later from the space's page, Access Points tab, with Link Access Point. Once doors are linked the button reads Manage Access Points. Linking from the door's side is described in Add access points and link them to spaces.
The Spaces list carries every space, with its building under the name. The search box, All Locations and All Buildings narrow it. With Include empty spaces unticked, only spaces with at least one access point remain. Sorting works on Space Name. Clicking a row opens the space.
On a location's page, the Spaces tab lists the spaces that sit directly on the location. Include spaces in buildings adds those in its buildings. A building's page has its Space List.
In the list, the row menu offers Edit. On the space's page, the three-dot menu does. The Edit Space drawer shows the same fields as at creation plus the Protection need. Under Building you move the space to another building. Save changes finishes.
Delete a space with Delete in the list's row menu or in the menu on its page, and confirm Are you sure? with Delete. If the space has linked access points, portierX refuses and says so in the dialog. Unlink the access points on the Access Points tab first. Deleting from the space's page returns you to Spaces.
Buildings and locations are not deleted. A building that goes out of use gives its spaces to another building through Edit Space. A location is renamed.
Every create, edit and delete is written to the Audit Log with who did it and when.
The counts on the location's card and page include the building or space immediately.
A space without a building shows on its location's Spaces tab. A space in a building shows in that building's Space List.
Creating, editing and deleting need the Organisation Admin role. Access Manager, Credential Manager and Security Monitor see locations, buildings and spaces and do not change them.
A building belongs to exactly one location. The location can be changed in Edit Building.
A space stays at its location. Its building can be changed in Edit Space.
A space with linked access points cannot be deleted. Unlink the access points first.
Buildings and locations cannot be deleted.
A building photo is a PNG or JPEG file under 10 MB.
