This path is for the Access Manager, who runs access day to day, keeps people up to date, gives them access to spaces and takes it away again. portier's introduction team trains you along this path and leaves it with you as your manual. You can also work through it on your own.
Find your way around portierX and read the dashboard.
Find spaces and people and read their pages.
Add people and organise them into groups.
Give a person or a people group access and take it away again.
Follow a key from hand-over to return.
Start and close an access review.
You need a login to your own organisation with the Access Manager role. If either is missing, ask your Organisation Admin. You practise on your organisation's real data.
Your first day in portierX. You can sign in and know where your work starts.
Find your way around portierX. You can reach every area you work in from the sidebar or the command menu.
What your role lets you see and do. You know what the Access Manager may do and what is left to the Organisation Admin.
Read the dashboard. You can see at a glance which keys are due or overdue and what waits for your decision.
How locations, buildings and spaces fit together. You can place every space in its building and location before you give access to it.
Find and filter spaces. You can find the spaces a request names, across several buildings too.
What a space's page shows. You can see for any space who holds keys to it and which doors belong to it.
People and users: who is who. You can tell the person who holds keys from the user who signs in.
Add a person, field by field. You can bring someone into portierX.
Find a person and read their page. You can look anyone up and read what they hold and where they may go.
Organise people into groups. You can gather a team, a shift or a contractor's crew in one group.
Keys, copies and cards in portierX. You can read keys, copies and cards the way portierX records them.
How access works in portierX. You understand what an assignment does before you make your first.
Give a person access. You can do the job your role does most.
Give a people group access. You can give a whole team access in a single assignment.
Take access away without taking everything back. You can take away part of someone's access and know beforehand what comes back.
Hand over a key or card and confirm receipt. You know how a key reaches the person and how receipt is recorded.
Take a key or card back. You can record that a key has come back.
Return dates, reminders and overdue keys. You can set return dates that fit the job and follow up keys that come back late.
Start and close an access review. You can have the people responsible for a place confirm who still needs access.
A new starter, from first day to first key. You can see who does what when someone starts, from adding them to handing over the keys.
A leaver: getting every key and card back. You can make sure every key and card comes back when someone leaves.
A contractor for a set period. You can give a contractor access for a fixed time and get everything back at the end.
Under Spaces, filter Protection need to Very high and read under Who decides who decides on keys to those spaces (Find and filter spaces).
Under People, open someone you know and read on their page which spaces they can enter and which keys and cards they hold (Find a person and read their page).
On that person's page, choose Grant Access, pick two spaces and the proposal Best Option, look at its keys under View details and open Review assignment. Then leave the page without confirming so that nothing is saved (Give a person access).
On the People tab of a space's page, choose Remove Access for one person, read the list of credentials affected and close the drawer with Cancel, which changes nothing (Take access away without taking everything back).
Open Reviews, choose Start Review and then Who can open spaces, take your spaces and read under Who answers who would be asked. Close the panel with Cancel. Only the confirmation starts the review and emails the people who answer (Start and close an access review).
Does a location or a building give access itself, or only a space? (How locations, buildings and spaces fit together)
Who may delete a people group? (Organise people into groups)
What happens to a mechanical key when you take away a person's access to one space only? (Take access away without taking everything back)
Which roles change the return date of a key someone already holds? (Return dates, reminders and overdue keys)
Can you add spaces to an access review after it has started? (Start and close an access review)
Next comes the path for the Organisation Admin, who sets up users, places, keys and connections (Training path: Organisation Admin).
