Someone moves to another team or site and needs access to other spaces there. The Access Manager updates the record, the groups and the access, the Credential Manager swaps the keys at the desk, and the Organisation Admin changes what hangs on the person's login. It all starts on the person's page under People.
The Access Manager changes the org unit and the position on the Information tab, or the HR file's morning import brings both where your organisation sends one (Change, link a login to, or delete a person, Connect your HR system through a daily file).
The Access Manager reads on the person's page which spaces, keys and groups they have (Find a person and read their page).
First the Access Manager adds the person to the people groups of the other team, and where a group has access, portierX shows on saving what the person receives through it (Organise people into groups, Give a people group access).
What no group covers, the Access Manager gives with Grant Access, and for a space whose protection need is Very high the hand-over waits for the approval (Give a person access, When access needs approval).
Then the Access Manager takes the person out of the groups of the previous team, and those groups' keys go on the return list while the person's cards lose those groups' doors, unless another assignment covers them (Organise people into groups).
The Access Manager removes single spaces with Remove Access on the Spaces tab, after reading the list of credentials affected (Take access away without taking everything back).
The Credential Manager hands the reserved keys over from the Handovers tab and takes back what is listed on the Returns tab (Work through hand-overs and returns, Take a key or card back).
If the person's work in portierX changes, the Organisation Admin gives them another role under Settings, User (Add a user and set their role).
If the person is recorded under Settings, Area Managers, the Organisation Admin updates the entry, which changes nothing in what they may see or do (Set who manages which part of the estate).
If they answer for places at the previous site, or are named Approver or Reviewer there, the Organisation Admin names someone else (Name who is responsible for a place, Name approvers, owners and reviewers).
The Information tab shows the org unit after the move.
The Groups tab lists only groups of the team the person works in.
The Spaces tab lists the spaces of the other role and none that should have gone.
The person is on neither the Handovers nor the Returns tab.
Under Settings, User, their user carries the role for the other work.
