Someone starts on Monday and should have their keys on the first day. The Access Manager adds the person under People and gives them access, the Credential Manager hands the keys over, and the person confirms receipt. If the person works in portierX themselves, the Organisation Admin sets up their login.
The Access Manager adds the person with Add Person, with the end date for a fixed-term contract, or the HR file's morning import brings them in where your organisation sends one (Add a person, field by field, Connect your HR system through a daily file).
If the person works in portierX, the Organisation Admin adds their user under Settings, User, unless Microsoft Entra ID creates it, and links the login to their person record (Add a user and set their role, Change, link a login to, or delete a person).
The Access Manager chooses Grant Access on the person's page, takes the spaces and the keys portierX proposes, and sets the start to the first working day, so the copies stay reserved until then (Give a person access).
If a key opens a space whose protection need is Very high, or is marked for approval, the Approver or the owner of the master key system says yes first, and only whoever raised the request or an Organisation Admin then hands the key over (When access needs approval).
On the first day, a person with a login sets their password from the invitation email, or signs in with their company account where your organisation uses Microsoft Entra ID (Your first day in portierX).
The Credential Manager finds the person under People on the Handovers tab and hands the reserved keys over (Work through hand-overs and returns).
The person confirms receipt with their signature or the PIN from the email, and the Credential Manager finishes a hand-over on a paper form by uploading the signed form or confirming offline (Hand over a key or card and confirm receipt, Finish a hand-over that is still pending).
Where the access has an end, that end is each key's return date, and portierX emails reminders before, on and after that day (Return dates, reminders and overdue keys).
The person is listed under People with an email address, and with an end date for a fixed-term contract.
With a login, the Login line on the person's Information tab shows their user.
The person is off the Handovers tab, and their page shows no Reserved Access Credentials section.
Assigned Access Credentials lists every key, with a date under Return Due where the access has an end.
Credential Handover History shows the hand-over as Confirmed.
