Your first day in portierX usually starts with an email. This page takes you from signing in, through the welcome and your role, to the page where your daily work begins. It applies to every role.
Also called: invitation, account setup, onboarding, getting started.
Which email you receive depends on whether you already have a portierX account.
Without an account, you receive "Set up your portierX account". Its button "Set your password" opens the page Set a new password. There you choose your password, and your email address is confirmed at the same time.
With an account, for example because you already work in another organisation, you receive "You have been added to Nordwerk Industries on portierX". Its button "Sign in" takes you to the sign-in page. You need no second account.
If your organisation brings its users in from Microsoft Entra ID, no invitation arrives. You sign in with your company account straight away, see Provision people from Microsoft Entra ID.
If the link in the invitation has expired, reset your password from the sign-in page. Every email portierX sends is listed on Emails portierX sends.
You sign in with your work email, with a password or with your company account. If you work in several organisations, you then choose the organisation. The steps are on Sign in and reset your password, switching between organisations on Work in several organisations with one login.
The Dashboard opens next, as your start page. With the Individual role, your own keys and cards open instead, or a dashboard for your places when you are named for a place or decide requests (Read the dashboard).
When you first sign in, portierX shows the window Welcome to portierX. In three points it says what portierX is for: Know who holds every key, Get told before a key is overdue and A record of every change. Get started closes the window. The window changes nothing on the page beneath it.
As long as no key exists in your organisation, the Dashboard shows a welcome page in its place. It greets you by name and offers three ways to start.
Way | Button | Where it leads |
|---|---|---|
Connect your doors and keys | Connect or Import | Integrations: connect an access control system or import a key plan |
Invite your team | Invite Users | Settings, User: add the colleagues who hand out keys with you |
Start from scratch | Add Location | Locations: first a location, then its buildings and doors |
Each way shows only to someone who may use it, which among the standard roles is the Organisation Admin. Other roles see the greeting and, below it, How portierX keeps access under control.
Once the first keys are in, Open My Dashboard opens the dashboard. From your next visit after the first key is handed out, the dashboard opens on its own.
What you may see and do is set by your role: one of the five standard roles Organisation Admin, Access Manager, Credential Manager, Security Monitor and Individual, or a custom role of your organisation. You can tell your role by the entries in your sidebar. Which role sees which entries is on What your role lets you see and do. Your Organisation Admin sees every user's role under Settings, User, and changes it there.
Role | Where the work starts | Read first |
|---|---|---|
Organisation Admin | Settings, User for users and roles, Integrations for connections | |
Access Manager | People or Spaces, to give access | |
Credential Manager | People, on the Handovers and Returns tabs, for issue and return | |
Security Monitor | Audit Log and Reports | |
Individual | Access Credentials, with your own keys and cards |
If you are named as an Approver or a Reviewer, the task arrives by email, and you start from the link in it. How that works is on Approve or decline a request and Answer an access review.
Help and feedback in the header opens the help centre with its AI assistant, reports a problem to portier or suggests a feature. What the help centre does not answer, support answers by email. More on Get help, report a problem or suggest an improvement.
Every role has a training path: the pages of this help centre in the order you need them.
Training path: Organisation Admin
Training path: Access Manager
Training path: Credential Manager
Training path: Security Monitor
Training path: IT administration, for the Organisation Admin who sets up connections, sign-in and provisioning
Training path: approvers, reviewers and key holders, for everyone who mostly arrives from an email from portierX
An organisation is set up by portier. An Organisation Admin adds users under Settings, User, or Microsoft Entra ID creates them.
The welcome window shows once per person, and not again on another device. Every way of closing it counts as read.
The welcome page shows only in a browser where the organisation was opened while it had no keys. Someone who first opens the organisation once keys exist goes straight to the dashboard.
The three ways on the welcome page change nothing on their own. Each only leads to the page where the work starts.
