What portierX is

portierX keeps one record per person, connects electronic access systems, and tracks each key and card from issue to return, in the cloud and run by portier.

portierX keeps one record per person, connects electronic access systems, and tracks each key and card from issue to return. This page sets out what portierX holds, how the parts fit together and what stays in your access control system. Where everything sits on screen is on Find your way around portierX.

Also called: key register, key control, access management software, PIAM.

One record per person

Everyone who needs access is in portierX once: staff, contractors and visitors. Their record carries their keys and cards, their groups and the places they are named for. People come into portierX by hand, from a spreadsheet, from the HR file or from a connected access control system. How people and users relate is on People and users: who is who.

Keys and cards from issue to return

A key in portierX is one key number of your key plan, with its copies. A card is a single record with no copies. portierX records who has held which copy since when, when it is due back and how the person confirmed the hand-over. Loss, theft and damage are reported as an incident. Every step is written to the Audit Log. More on Keys, copies and cards in portierX.

Connected systems

portierX connects to the access control systems SALTO, dormakaba MATRIX, ASSA ABLOY eCLIQ and Interflex. On a schedule, portierX takes in what the system holds, such as doors, people and cards. Where the system allows it, portierX writes changes back to it. Alongside these come Microsoft Entra ID for signing in with the company account and for creating users, the HR file with the exports of your HR system, and the key plan, which portierX reads from the manufacturer's XML file. How connections work is on How connections work in portierX.

How the parts fit together

Approver and Reviewer

Who says yes before certain keys are handed over, such as keys to a space at Very high, and who confirms in an access review who still needs the access.

Named for the Serverraum

You give a person or a people group access to spaces, and their keys and cards open the doors of those spaces. How that works is on How access works in portierX.

What stays in the access control system

portierX brings no hardware and does not replace the locks, cylinders and readers you already have. Your access control system keeps running its doors, and the doors keep opening if the cloud cannot be reached.

Calculating the master key system stays with its manufacturer: the coding, the pinning and the cutting of keys. portierX reads the key plan from the manufacturer's file and shows which key opens which cylinder.

What portierX reads from and writes to each system is on Connected systems at a glance.

Where portierX runs

portierX runs in the cloud, and portier runs it. Nothing is installed at your end. The server of an access control system you run yourself stays with your team.

You work in portierX in the browser, on a computer, a tablet or a phone (Use portierX on a phone or tablet).

What each release of portierX brings is in the public release notes.

Getting started

An organisation is set up together with portier. What a user does first is on Your first day in portierX.

Rules

  • portierX does not locate keys. portierX records whom a key was issued to and when it came back.

  • Access applies to spaces. A door that belongs to no space is given to nobody.

  • What someone may see and do in portierX is set by the user's role, see What your role lets you see and do. Which doors someone opens follows from the person's keys and cards.
